Email templates
Customize the 21 automatic email templates in JoinCPR: edit the subject and body, insert merge tags, preview with sample data, send a test and reset to default.
Updated · JoinCPR help center
Every automatic email JoinCPR sends to your students, clients and instructors starts from one of 21 templates you can edit under Settings → Email Templates (admins and staff). The full list of templates and when each is sent is in Automatic emails; the tags you can use are in Merge tags.
Editing a template
- Choose the template in the Email Template dropdown.
- Edit the Subject Line (up to 255 characters) and the Email Body in the rich-text editor (bold, italic, underline, lists, quotes, links).
- Insert merge tags by typing them exactly, with double braces and no spaces, for example
{{student_first_name}}. The Available Merge Tags box lists the tags valid for this template. - Show Preview renders your draft with sample data.
- Send test emails your current draft (saved or not) to the address in Send a test to, with the subject prefixed "[Test]".
- Save Template.
Reset to Default discards your changes and returns to the system wording.
Tip
Paste tags as plain text. If the editor turns a pasted tag into a link or changes its formatting, retype it.
How sent emails look
- Wrapped in a branded layout: your logo (or company name), then your body, then "This email was sent by {Company}. If you have questions, please contact your training provider directly."
- From: JoinCPR's sending address with your company name as the display name. Reply-To: the address under Settings → Notifications → Reply-To Email, if set. Otherwise replies go to JoinCPR's no-reply sending address, so set one.
- Values from students and staff are shown as plain text. Tags that produce formatted content (dates lists, notes, the receipt table, buttons) render as formatted blocks.
- Unknown tags are left as literal text, so check the preview.
Attachments
The receipt PDF is attached automatically to the Registration Confirmation (when there was a payment), to every Payment Receipt email, and to Refund Processed emails sent to the person who paid (the PDF then shows the refund and the net amount). {{receipt_note}} prints "Your receipt RCPT-… is attached to this email as a PDF." when a receipt exists.
Turning emails off
There is no on/off switch on this page. Use Settings → Notifications to disable a type. Disabling suppresses every send of that type, including manual resends. See Notification settings.
Emails you cannot edit here
- The Your Keycode email (fixed wording).
- Student and client password reset emails (standard system emails).
- Staff invitations and your own JoinCPR billing notices.
