Staff & Instructors (your team)
Invite staff and instructors to your JoinCPR account, choose their roles, resend or cancel invitations, remove people, and track instructor credentials.
Updated · JoinCPR help center
Your team is managed under Manage → Instructors, which opens the Staff & Instructors page. Everyone who logs in to the app portal for your business is listed here, whatever their role.
Only administrators can add, edit or remove people. Staff can view the list. Instructors cannot open the page.
The list
- Add Staff (admins) opens the invite form.
- Search by name or email filters both members and pending invitations.
- Columns: Name, Email, Role, Instructor, Credentials, Status, Joined.
- Pending invitations appear first with status Invited (or Expired after seven days). Their menu offers Resend Invitation and Cancel Invitation.
- Members show status Active once they have logged in at least once, otherwise Invited or Expired. The Credentials column (instructors only) shows a coloured dot and count: red if any credential is expired, yellow if one expires within 30 days, green otherwise.
- Row menu: View (instructors only, opens the instructor page), and for admins Edit Role, Resend Invitation (only while the person has never logged in) and Remove.
Adding a team member
Click Add Staff. The form asks for:
| Field | Notes |
|---|---|
| First name, Last name | Required |
| Required. Must not already be on your team. | |
| Role | Admin, Staff or Instructor (default Staff). See Roles and permissions. |
| Instructor switch | Shown for Admin and Staff. Turn it on if this person will teach classes. Instructors always have it. |
| Setup method | Send email invitation (they set their own password) or Create password now |
Send email invitation (recommended)
The person receives "You've been invited to join {Company}" from your business name, with an Accept Invitation button. The link is valid for 7 days. When they open it:
- New to JoinCPR: they set a password and are then asked to log in.
- Already have a JoinCPR login (for example they work at another training business): they simply accept and join your team with their existing password. This is the only way for a person to belong to more than one business.
A pending invitation for the same email blocks a second one; use Resend Invitation instead. Resending issues a fresh link and resets the seven days.
Create password now
You type a password for them (and confirm it). Optionally tick Send welcome email to send "You've been invited to JoinCPR — {Company}" with a Set your password link valid for 60 minutes; either your password or the one they set through the link will work.
This method is refused if the email already has a JoinCPR login anywhere: "An account with this email already exists. Send them an email invitation instead."
Note
Password rules: at least 12 characters with upper and lower case letters, a number and a symbol, and not a password found in known data breaches. Some forms still show "Minimum 8 characters" as a placeholder.
Editing a role
Edit Role opens "Edit Team Member" with the Role select and the Instructor switch. Changes take effect on the person's next page load. The only administrator cannot be demoted: "This is the only administrator on your team. Promote someone else to admin first."
Removing someone
Remove deletes their membership in your business. Their JoinCPR login itself remains (they may belong to other businesses, and you can re-invite them). Rules:
- You cannot remove yourself.
- You cannot remove the only administrator.
The removed person is signed out of your business on their next request. Classes they were assigned to keep the historical record.
Warning
There is no "deactivate" for team members. Remove is the only option and it is immediate.
Working at two businesses
A person invited to a second business accepts the invitation with their existing login. However, there is no switcher between businesses in the app: after login they always land in the business they joined first. Use separate email addresses if someone needs to work in two JoinCPR accounts day to day.
Instructor credentials
Open an instructor from the list (View) to reach Instructor Details. It shows their five most recent assigned classes and a Credentials table with Add Credential.
| Field | Notes |
|---|---|
| Credential Name | Required, for example "AHA BLS Instructor" |
| Issuing Organization | American Heart Association (AHA), American Red Cross (ARC), National Safety Council (NSC), Health & Safety Institute (HSI), Emergency Care & Safety Institute (ECSI), Other |
| Credential Number | Optional |
| Issue Date | Required |
| Expiry Date | Optional, must be after the issue date |
| Credential Document | PDF, JPG or PNG up to 5 MB |
| Notes | Optional |
Status is derived from the expiry date: Active, Expiring Soon (within 30 days), Expired, or No Expiry. A warning banner appears on the instructor page when anything is expiring or expired, and the Reports → Credentials tab lists everything expiring within 90 days.
Reminder emails: 30 days and again 7 days before a credential expires, every administrator receives the "Instructor Credential Expiring (Admin)" email and the instructor receives the "Instructor Credential Expiring (Instructor)" email. Both templates can be edited under Email templates.
Note
Credentials are for your records and reminders only. An expired credential does not stop an instructor being assigned to a class, and nothing warns you on the class page.
What instructors receive
Assigning an instructor to a class does not email them. The class appears on their Instructor Portal and, if they have connected Google or Outlook under Calendar Sync, on their calendar. See Calendar sync.
